Frequently asked questions
EHR
Are you an EHR system?
No. We are not a full electronic health record (EHR) system. Our focus is on scheduling, patient access, reducing administrative work, and helping patients quickly find the right therapist. Many therapists continue to use their preferred EHR for clinical documentation and billing.
What EHR systems can you integrate with?
Our system works with any EHR that supports external calendar syncing. By connecting through Google Calendar or Outlook, your schedule stays accurate across platforms. While we don’t integrate directly with each EHR, this method ensures your calendar is always up to date without manual work.
Can I see my NextTherapist appointments in my EHR system?
Yes. Appointments booked through NextTherapist will appear in your connected calendar (Google or Outlook), which will also sync with your EHR if that feature is enabled. You will still need to manually create a patient file in your EHR, but the appointment itself will show up automatically.
What calendar systems can I link to?
We currently support Google and Microsoft Outlook. If you can access your calendar on your computer or phone without logging in to your EHR, you should be able to connect it here.
Do I need a specific type of EHR subscription?
Yes. If you use an EHR, you’ll need a subscription that allows for external calendar syncing.
Schedule & Office Hours
How do I link my calendar? Is it manual?
During setup, you’ll connect the calendar you already use (Google or Outlook). Once linked, your availability updates automatically—no manual entry required.
Do I have to approve each appointment or check messages to confirm bookings?
No. NextTherapist is a “set it and forget it” system. Patients can instantly book open time spots. You focus on therapy; we handle scheduling and confirmations automatically.
Will my calendar be visible to patients?
Patients will only see the time slots you’ve marked as available, within the office hours you’ve set. Your full calendar, personal appointments, or private details are never visible.
How much control do I have over my calendar?
You have full control over your availability. You can open your calendar for 1 week, 2 weeks, or a full month, and you can adjust your visibility at any time within that range.
What if my office hours change?
In your dashboard, go to Calendar & Appointments → Office Hours to update your recurring schedule anytime. For one-time changes (like vacation days), simply add them to your connected calendar, and it will sync automatically.
How do I block time on my calendar from being booked?
In your EHR system or external calendar, create a “Blocked Time” event. Patients cannot book during these periods. There’s no need to block time in NextTherapist; we check your calendar frequently for changes.
Can I pause my calendar for vacation or time off?
Yes. Just block off the full time in your connected calendar. Be cautious using EHR systems “Out of Office” settings that block multiple days, but not individual times, since it may not sync externally.
How close to the appointment time can clients schedule?
You decide. NextTherapist allows you to set how much notice you want before each appointment, giving you control over last-minute bookings.
Cancellation & Rescheduling
What if I need to reschedule a client?
Simply decline the appointment in your calendar. This will send them a notification that the appointment was cancelled. We recommend sending the patient an email letting them know the reason for the cancellation and providing them next steps.
What if a client doesn’t show up?
Patients are charged according to the cancellation policy they agreed to at time of booking, their card on file is charged the full session fee. You are paid in full.
What is the cancellation policy for patients?
Patients are required to cancel or reschedule at least 24 hours before their appointment.
What happens if a patient cancels late or doesn’t show?
If a patient cancels within 24 hours or misses the appointment, their card on file is charged the full session fee. You are paid in full.
Why do you enforce this policy?
We know life happens, but this policy protects your time and ensures you are compensated for reserved sessions. It also allows other patients to book open slots.
How do I indicate if a patient didn’t show for their appointment?
After each appointment, you’ll receive an email prompting you to confirm whether the session occurred. If you indicate that the patient did not show or cancelled late, we’ll initiate the charge to the card on file.
Waitlisting
How does automated waitlisting work?
Our system monitors your connected calendar and compares it to the office hours you provide. When a new opening is detected, clients on your waitlist are notified via text, email, or app (based on their preference), allowing your appointments to fill automatically—no manual work required.
How is a patient added to my waitlist?
A patient can manually join your waitlist on your booking page.
How will they be notified?
Patients receive automatic notifications when an available slot opens.
What if a patient wants to change their waitlist notifications?
Patients can do so in their personal account settings. They can simply remove themselves from waitlists that they no longer wish to be a part of. Additionally they can change their notification setting at any time.
HIPAA & Privacy
Are patient communications HIPAA-protected?
Yes. Our system is fully HIPAA compliant. All patient information is encrypted and stored in compliance with HIPAA standards.
Do you ever sell patient data?
No. Unlike some other large therapy platforms, NextTherapist will never sell or share patient or therapist data.
Who can access patient data?
Only you and the patient have access to their information.
About NextTherapist
Are you the same as BetterHelp or other online therapy platforms?
No. NextTherapist does not provide therapy services. We connect patients with therapists quickly so they can find the right fit. You handle your practice independently: set your schedule, collect payment, and see patients as you choose.
Why allow patients to book instantly?
Instant booking helps patients take action when they’re ready for care—while you stay in full control of your availability.
Payments & Billing
How do I handle session pricing?
You set your own rates.
Can I offer different session lengths?
Not yet. Currently, only 50-minute appointments are supported. We are actively working on adding additional appointment types and lengths. If other lengths would help your practice, email us at info@nexttherapist.com.
Can I offer discounts or sliding scale rates?
Yes. A patient will see your standard rate that you enter during onboarding. However, billing patients is always directly in your control, and you are able to make any arrangements you would like with your clients.
Do you take a cut of my therapy sessions?
No. Therapists receive their full session rate. The only cost paid to NextTherapist is your subscription fee.
Do you bill my patients?
No. You manage your own billing and payment processes.
Do you bill insurance?
No. NextTherapist does not handle insurance billing. You manage your own billing and payment processes.
Telehealth
Can I offer both in-person and virtual sessions?
Yes. You can use any Telehealth platform (e.g., Zoom, Doxy, Google Meet). You are responsible for sending session links to patients prior to scheduled appointments.
Do you provide a Telehealth link for sessions?
No. You provide the link. Once the appointment is created, you can access the patient’s contact information in your NextTherapist account.
General
Should I offer free consultations?
It’s up to you. Many therapists find that requiring a booked session leads to better follow-through. Free consultations less often result in future appointments booked. We believe strongly that you should be paid for your work. However, we do not dictate how to run your practice and support any approach that you take.
Can I allow only certain types of appointments to be booked online?
Not yet. Our primary goal is to get patients scheduled quickly with the therapist they feel confident in seeing, whether it’s their first session or a follow-up.
How do I manage multiple locations or offices?
Ensure the correct location is set when creating office hours. If you make temporary changes, you’ll need to notify patients directly.
Can patients message me through the platform?
No. Our goal is to simplify your lives. They will be able to access your business contact info through your profile, but will communicate with you through email or phone, as needed.

Marketing & Referrals
How do patients find me on the platform?
Patients can search for you either by name, or they can search by specific criteria to be matched with you based on your profile settings.
Do I need to constantly update my profile to be seen at the top?
No. Visibility is filtered by specialty and location first, not constant profile updates. Our algorithm is specific to who you are as a therapist, and not the “social media” approach of constant interaction.
Can I refer colleagues?
